About the job

About DysrupIT

DysrupIT is a consulting-led technology firm. We help mid-market to enterprise businesses solve business problems through technology, whether that's consulting, execution, managed services, or staff augmentation, we take accountability for the outcome. We are dedicated to making a positive impact in the communities we serve.

Company Culture

At DysrupIT, success isn't measured in headcount placed or hours billed, it's measured in outcomes delivered. We're a team that takes ownership of the work, stays curious about problems beyond our immediate scope, and builds relationships meant to grow, not just renew or end. We invest in our people with the training and support they need to grow their careers, and we back a culture where everyone, regardless of role, is encouraged to notice opportunities, ask one more question, and help lead the story for our clients, not just deliver it.

Job Summary

We are looking for a Project Coordinator & Business Operations Administrator to keep delivery teams and back-office operations running smoothly, so consultants can focus on client outcomes. You will join our client, an AI-native Microsoft Dynamics 365 and Power Platform consultancy that designs, builds and supports CRM and business applications across Customer Engagement (CE) and Finance & Operations (F&O). They are a small, senior team, so this role has real visibility and real influence on how the business works.

The role is split roughly 60/40 between supporting project delivery (planning, reporting, resourcing and timesheet management) and running the firm's operational backbone (contracts, onboarding and finance support). It suits someone early in their career who wants a broad view of how a consultancy runs, or an experienced coordinator who enjoys being the person who makes things happen.

  • Location: Philippines
  • Work setup: Fully remote
  • Employment type: Full-time
  • Reports to: Consulting Director
  • Works closely with: Delivery leads, finance and practice leadership

Job Responsibilities

Project coordination

You will support delivery leads and project managers across several concurrent Dynamics 365 and Power Platform engagements.

  • Maintain project plans, schedules and milestone trackers, and flag slippage early to the delivery lead.
  • Prepare weekly status reports and steering committee packs using delivery data from Azure DevOps and project tools.
  • Schedule and facilitate project meetings, workshops and showcases, and capture minutes, decisions and actions and follow them through.
  • Coordinate resourcing by tracking consultant allocations and availability across projects, and help delivery leads plan upcoming demand.
  • Monitor timesheets and project budgets against plan, and highlight burn-rate variances to the delivery lead.
  • Support change control by logging change requests, tracking approvals and keeping scope baselines current.
  • Keep project documentation in SharePoint and Teams current, consistently named and easy to find.
  • Help prepare handover and hypercare materials as projects move into BAU support.

Business operations administration

You will keep the firm's operational processes accurate, compliant and efficient.

  • Prepare, track and file client contracts, SOWs, change orders and subcontractor agreements.
  • Coordinate employee and contractor onboarding and offboarding, including system access, equipment, licences and induction.
  • Support finance operations by raising invoices from approved milestones and timesheets, tracking receivables, processing supplier invoices and expenses, and assisting with month-end inputs.
  • Maintain internal records, policies and templates (proposal, SOW, estimate and JD templates) so they stay current and consistently branded.
  • Support compliance requirements such as insurance certificates, client security questionnaires, vendor onboarding forms and audit requests.
  • Coordinate travel, events and team meetings, and act as the first point of contact for general operational queries.
  • Identify repetitive admin tasks and improve or automate them using Power Platform and AI tools.

What Success Looks Like

  • First 90 days: Project reporting runs reliably across active engagements, RAID logs and status reports are current, and the onboarding, contract and finance processes are documented and owned.
  • By 6 months: Delivery leads spend noticeably less time on admin and reporting, resourcing and timesheet visibility is accurate week to week, and at least two recurring operational tasks have been simplified or automated.
  • By 12 months: You are the trusted operational backbone of the firm, with consistent project governance, clean compliance records and a clear view of how the function can scale as the business grows.

Qualifications

  • 2+ years in project coordination, PMO, business operations or administration, ideally in a professional services, consulting or technology environment.
  • Strong working knowledge of Microsoft 365 (Excel, Teams, SharePoint and Outlook), and comfort learning new tools quickly.
  • Experience maintaining project plans, RAID logs and status reports, and an understanding of both waterfall and agile delivery.
  • Excellent attention to detail, especially with contracts, invoices and records.
  • Clear written and verbal communication, and the confidence to follow up with senior people politely and persistently.
  • Ability to manage competing priorities across several projects without losing track of commitments.
  • Organised without being rigid, and takes ownership of loose ends before anyone asks.
  • Stays calm when priorities shift, and uses sound judgement with confidential information such as contracts, pricing and client details.
  • Comfortable working across a distributed team.

Nice to Have

  • Exposure to Microsoft Dynamics 365 or Power Platform projects, or experience in a Microsoft partner environment.
  • Experience with Azure DevOps, a PSA or timesheet tool, and basic finance systems such as Xero or MYOB.
  • Familiarity with Power Automate, Power Apps or AI assistants for workflow automation.
  • Certifications such as PRINCE2 Foundation, PMI CAPM, Scrum Master or Microsoft PL-900.
  • A degree in business, commerce, information systems or a related field.

What We Offer

  • Competitive compensation package commensurate with experience.
  • Government-mandated benefits plus supplemental HMO coverage.
  • Collaborative and professional work environment.
  • Career growth opportunities within a growing organization.
  • Fully remote work arrangement.
