About the job
Our client, a US-based outpatient sleep medicine practice, is looking for an experienced Medical Billing Coordinator to join its Customer Service team. This role sits at the front line of patient access—handling inbound and outbound calls, verifying insurance benefits, scheduling appointments, and making sure every patient interaction is handled with accuracy, professionalism, and care.
This is not an entry-level position. You will verify eligibility and benefits before consultations, home sleep tests, and overnight in-lab sleep studies; catch referral and prior authorization requirements before they turn into denied claims; and explain to patients in plain language what they are likely to owe. The accuracy of your verification is what every visit after it depends on.
Key Responsibilities
Insurance Verification and Benefits (VOB)
- Verify patient insurance eligibility, network status, and active coverage prior to appointments
- Confirm deductibles, copays, coinsurance, out-of-pocket maximums, and service-specific benefits
- Identify referral requirements and prior authorization (PA) needs by payer and service type
- Navigate payer portals and contact insurance carriers directly to verify benefits when portal information is insufficient
- Accurately document all insurance verification details in the EMR/EHR
Patient Communication
- Handle inbound patient calls with professionalism, warmth, and efficiency
- Make outbound calls to patients for scheduling, benefit confirmations, document collection, and follow-up
- Clearly communicate insurance benefit information to patients in plain, understandable language
- Address patient questions and concerns with patience and accuracy
Scheduling and Administrative Support
- Schedule, reschedule, and confirm patient appointments across providers and service lines
- Process referrals and coordinate with internal teams and external providers as needed
- Verify and update patient demographic information to maintain accurate records
- Maintain complete and organized documentation across all patient interactions and transactions
Requirements
- Demonstrated experience in a US healthcare call center environment—this is a firm requirement
- Hands-on experience conducting insurance verification and benefits checks (VOB) for US payers
- Working knowledge of deductibles, copays, coinsurance, out-of-pocket costs, and benefit structures across commercial and government payers
- Experience identifying referral and prior authorization requirements by payer
- Proficiency navigating payer portals and contacting insurance carriers
- Experience documenting insurance verification and patient interactions in an EMR or EHR system
- Medical scheduling experience, including referral coordination
- Able to work full-time, Monday through Friday, aligned to US business hours (an overnight schedule in the Philippines)
- A HIPAA-compliant remote setup: reliable high-speed internet, a quiet dedicated workspace and a quality headset
Preferred Qualifications
- Benefits verification for diagnostic testing or equipment, for example sleep studies, imaging, or CPAP and other DME
- Experience with Medicare, Medicare Advantage HMO referrals and coordination of benefits (which plan pays first)
- Experience in a specialty outpatient practice, for example sleep medicine, pulmonology, neurology or ENT
- Comfortable building simple trackers in Excel, including lookups (XLOOKUP or VLOOKUP) and pivot tables
Tools & Software
- EMR/EHR—required; specific system training provided
- Payer portals, both multi-payer and payer-specific—required
- Microsoft 365 or Google Workspace — proficient
- Microsoft Excel for verification and call tracking
- Phone or softphone and a quality headset for high call volume
What Makes You a Great Fit
- Detail-oriented. Accurate verification and documentation are the foundation of this role—errors have real consequences for patients and the practice.
- Organized and dependable. You manage a high volume of calls and tasks without losing accuracy or follow-through.
- Clear and professional communicator. You speak with patients and insurance representatives confidently and with care.
- Patient and composed. You handle difficult conversations, confused patients, and complex payer situations calmly and professionally.
- HIPAA aware. You handle all patient information with discretion and in full compliance with HIPAA requirements.
This role is the right fit for someone who has worked in US healthcare call center operations and understands the pace, the stakes, and the standards that come with it. You know your way around a payer portal, you verify benefits without cutting corners, and you communicate with patients in a way that puts them at ease. If you take pride in getting the details right and following through on every task, we want to hear from you.
