About the job

Who we are

Releaf Dispensary Ltd is a pioneering medical cannabis clinic committed to providing high-quality, safe, and effective cannabis-based products. Headquartered in the UK, we aim to enhance the quality of life for our patients through cutting-edge solutions and outstanding patient service. We are a fast-growing team of passionate professionals on a mission to put patients back in control of their health journey — we have seen first-hand how alternative treatments can change lives.

We are proud to be a certified B Corp — the first medicinal cannabis clinic in the world to achieve this recognition — reflecting our commitment to the highest standards of social and environmental responsibility.

The Role

As our Clinic Services Administrator, you'll help keep our clinic running smoothly behind the scenes. You'll own a range of key clinical admin processes, support patients where needed and complete administration tasks.

You'll work closely with our clinicians, patient support and operations teams, making sure patients get accurate, timely communication and that our clinicians can focus on care.

What you'll be doing

  • Supporting patients and clinicians across the eligibility process in line with our policies
  • Preparing and issuing letters for patients where required working with clinicians to make sure they're accurate and sent on time
  • Supporting clinic capacity planning making sure clinic capacity matches patient demand
  • Rescheduling appointments when needed, keeping disruption for patients to a minimum
  • Requesting and chasing medical records and GP summaries needed for patient assessments
  • Managing the clinic admin inbox and responding to or routing clinician queries
  • Keeping patient records accurate and up to date, and supporting record-keeping audits
  • Tracking clinic metrics such as appointment utilisation, cancellations and non-attendance
  • Supporting clinician onboarding admin, such as collecting registration, indemnity and DBS documents
  • Supporting subject access requests and complaints admin, in line with our processes
  • Keeping letter templates and clinic admin processes up to date, and suggesting improvements

What we're looking for

  • At least 2 years experience in an administrative role in a healthcare setting, such as a GP practice, hospital or private clinic
  • Excellent attention to detail, particularly when handling patient information and preparing letters
  • Clear, professional written communication, and a friendly, empathetic approach with patients
  • Strong organisational skills and the ability to manage competing priorities, including short-notice changes
  • A good understanding of patient confidentiality and data protection (UK GDPR)
  • Confident using clinical or practice management systems, and comfortable picking up new tools

We're looking for someone who is excited to join a busy growing organisation - our team culture is based on support and respect and we take a proactive approach to employee progression and development. The ideal candidate for this role will be happy to roll their sleeves up and can take ownership of this role. In return, we offer flexible working; personalised training and development; private health insurance, Employee Assistance Programmes; access to employee perks and Releaf staff patient benefits.
